Check-in and check-out are the two moments where accurate front-desk work makes the biggest difference to the client experience.

Check-in workflow

  1. Open the day's appointment list.
  2. Find the patient and confirm the appointment details.
  3. Confirm the owner's contact information.
  4. Mark the patient as arrived or checked in.
  5. Add any important front-desk notes for the clinical team.

During the visit

Front-desk staff should stay aware of:

  • waiting patients
  • delayed appointments
  • rebook requests
  • billing items that need follow-up after the consultation

Check-out workflow

  1. Confirm the consultation is complete.
  2. Review whether billing items are ready.
  3. Share the invoice or payment total with the client.
  4. Record payment status if your workflow requires front-desk completion.
  5. Book a follow-up appointment when needed.
